Packing Up the Conference Room: What Businesses Sometimes Forget to Prep Before the Big Move.

When most businesses plan an office move, they focus on the big things — desks, chairs, computers, appliances, shelving, and filing cabinets. But there’s one area that often gets overlooked until the last minute, the conference room.

We’ve helped a lot of businesses move, and we’ve seen firsthand how the little things — like an unplugged projector or forgotten drawer — can cause big delays. The conference room might not seem like a high priority, but it usually holds a surprising amount of tech, fragile items, and hidden clutter that need some extra care.

Here’s what many businesses forget to prep — and how we help:

1. A/V Equipment & Cables

Projectors, smart boards, speaker systems, and tangled cords require careful disassembly and organized packing. We recommend labeling and bundling cables to save time and reduce confusion during setup at the new location.

2. Décor & Fragile Items

Artwork, glass items, whiteboards, awards, and other décor are often packed in a hurry. These items need proper padding and boxes to arrive intact. We bring the right supplies to protect your pieces. No item is too large or too small — we’ll handle it so you can focus on the bigger tasks.

3. Cabinets & Storage Units

Conference rooms tend to hide extra supplies like pens, binders, catering sets, and old electronics. It’s the stuff you don’t think about — like a stash of old cables or extra coffee supplies — that always pops up at the last minute and slows things down. We help businesses take inventory early. Moving Tip: even though we secure drawers during the move, emptying them ahead of time keeps things running smoothly.

4. Specialty Furniture

Large conference tables, modular chairs, or custom cabinetry? Our team is trained to disassemble and reassemble these efficiently, so your workspace is ready to go on day one.

5. Digital Boards & Accessories

Don’t forget about whiteboard markers, smart remotes, tablets, and presentation tools. Gather these accessories and pack them with care to avoid delays in finding them later. It is always a good idea to label remotes, so they are easy to find at your new office.

6. Beverage Stations & Appliances

Mini-fridges, coffee machines, or water coolers often live in or near the conference room. These should be emptied and prepped for moving to avoid leaks or messes. Bonus: pack the mugs and stir sticks too!

7. Paperwork & Confidential Documents

Sometimes the conference room stores sensitive materials like meeting notes, contracts, or records. Make sure these are either packed securely or shredded prior to the move.

8. Virtual Meeting Tech

Webcams, microphones, speakers, and teleconferencing equipment may need professional uninstallation and should be packed with padding. These items are essential for hybrid teams, so keep them accessible.

Bonus Tip: Have a Setup Plan

Before disassembling everything, snap a few photos or draw a layout of your current conference room. Recreating your old setup — or improving it — becomes much easier with a visual reference!
